Understand the conversation
A useful workflow begins with the caller’s actual purpose. Avoid treating every call to the same department as the same kind of request.
- What is the caller trying to accomplish?
- Is this a basic inquiry, a report, a transfer request, or a completed intake?
- What information is essential, and what can remain unknown for staff review?
Map the destination
Routing should reflect the facility’s real operations. A department label is useful only when it leads to the correct destination.
- Which department, station, room, or team should receive the call?
- Does the destination change by location or coverage hours?
- Where should the call go if a lookup is ambiguous or the destination is unavailable?
Define the record
Documentation should reflect what actually happened in the conversation and give the next person usable context.
- Which details need to appear in the summary or report?
- What should remain an inquiry rather than a completed pre-screen or clinical report?
- Who reviews the generated content before relying on it?
Assign the next step
A request is easier to act on when responsibility is explicit. Plan ownership alongside call handling.
- Who is responsible for the follow-up?
- How will that person know a request is ready?
- What status or outcome shows that the team has handled the work?
Agree on review
Identify who will assess early results and how issues will be resolved.
- Who reviews routing accuracy and generated documentation?
- How can staff flag a conversation that needs correction?
- Which outcomes will help your team decide whether the workflow is useful?
