01. Start with your current process

Before configuring a new workflow, document what happens today. A useful starting point is one facility and a small set of frequent call types.

  • Identify the calls your front desk, nursing stations, and admissions team receive.
  • Document who answers, who receives transfers, and how staff capture follow-up.
  • Choose the first workflows based on team needs and operational readiness.

02. Define the configuration

Turn that process into a clear set of destinations, access requirements, and workflow rules.

  • Confirm department and station destinations, coverage hours, and fallback contacts.
  • Identify the information needed for each workflow and the staff authorized to review it.

  • Test fallback paths, ambiguous caller intent, and cases requiring human attention.

04. Introduce the workflow to staff

The technology should fit a process that people understand. Give the receiving teams a clear view of what will change in their day.

  • Explain where requests, call details, and reports appear.
  • Define who reviews AI-generated documentation and who owns follow-up.
  • Make sure staff know how to raise routing or content issues.

05. Review and refine

Use early activity to improve the configuration and decide what to introduce next.

  • Review call outcomes and requests with the teams doing the work.
  • Investigate missed destinations or unclear ownership before adding more workflows.
  • Expand to other facilities with their local context and routing requirements preserved.
